Privacy Policy

Last updated

This policy explains how Zambrite, the operator of ZedSign, handles personal data. We process personal data in line with the Data Protection Act No. 3 of 2021 of Zambia.

Data we collect

Depending on how you use ZedSign, we process:

  • account details: name, email address, password (stored hashed), signature and organisation membership;
  • documents you upload and the fields, signatures and values added to them;
  • recipient details you enter: names, email addresses and phone numbers;
  • signing evidence: timestamps, IP addresses, browser details and actions recorded in the audit trail;
  • billing details: usage, invoices and payment references.

How we use it

We use personal data to provide the service (sending, signing and storing documents), to produce audit trails and certificates, to bill for usage, to secure the platform and prevent abuse, and to support you. We do not sell personal data.

Who we share it with

Documents and signing links are shared with the recipients the sender chooses. We also rely on service providers who process data on our behalf:

  • cloud hosting and file storage providers, which may store data outside Zambia;
  • email delivery providers for signing requests and notifications;
  • SMS and WhatsApp messaging providers, when a sender chooses those delivery methods;
  • an AI provider for optional field and recipient detection, only when an organisation turns AI features on;
  • mobile money and payment providers for purchases.

Security and retention

Data is encrypted in transit and documents are stored with access controls. Signed documents and their audit trails are kept while the owning account or organisation exists so that the record stays retrievable, and billing records as long as the law requires.

Your rights

You may ask to access, correct or delete your personal data, or object to its processing, subject to legal and evidential obligations (for example, a completed signing record may need to be retained by the organisation that sent it). Contact [email protected]. You may also complain to the Office of the Data Protection Commissioner of Zambia.
